How to Clean SEO CSV Exports Without Losing Useful Rows

Clean a small SEO export, preserve meaningful differences and choose how the resulting CSV should be used.

Start with the decision the export needs to support

A CSV cleanup should leave you with records you can trust when reviewing a website change. Before removing anything, decide what one row represents. In a title export, it may be one page. In a campaign report, it may be one combination of page, source and date. The same URL can legitimately appear several times when those other fields differ.

Keep the original export and work on a copy. Write down which columns are required for the next task, then inspect the header and a few records. If the sheet is intended for a redirect review, preserve both the source and destination. If it contains title drafts, preserve the title text and any note that explains who should review it. A shorter file is useful only when the removed records were actually unnecessary.

The ProSEO CSV Cleaner & Deduplicator handles small comma-separated or tab-separated batches. It can trim cell-edge whitespace, remove completely blank records and remove exact duplicate data rows. It does not decide which title is correct or which destination a URL should use.

A worked example: six data records become four

The following invented export contains a repeated row, a blank record and a conflicting entry for the same URL. It also includes a comma, literal quotation marks and a line break inside quoted fields. Paste the entire sample into the cleaner; the final two lines belong to one record.

url,title,owner
" https://example.com/tools/ ","SEO tools, free","Sara "
https://example.com/tools/,"SEO tools, free",Sara
,,
https://example.com/tools/,Updated tools page,Ali
https://example.com/guide/,"How to use ""quotes""",Mina
https://example.com/notes/,"Line one
Line two",Omar

Leave First non-empty record is a header, Trim cell-edge whitespace and Remove exact duplicate data rows selected, then choose Clean CSV data. For this sample, the live tool retained four data records, removed one blank and one duplicate record, and trimmed two cell edges. We checked the downloaded CSV as well as the preview on 10 October 2026.

What remains after the sample is cleaned
PathTitle fieldOwnerReview decision
/tools/SEO tools, freeSaraKeep the first copy after trimming.
/tools/Updated tools pageAliKeep for manual review: its other fields differ.
/guide/How to use "quotes"MinaPreserve the literal quotation marks.
/notes/Line one
Line two
OmarPreserve the line break inside the cell.

The URL and owner in the first data record lose their surrounding spaces. That makes the first two data rows identical, so the second copy is removed. The later /tools/ entry stays because its title and owner are different. Choose between those records using the current page and the editorial brief; removing one solely because its URL repeats would conceal the disagreement.

Choose the right meaning of duplicate

ProSEO compares the complete row after any selected trimming. Its comparison is case-sensitive: Sara and sara remain different values. It also does not make a trailing slash, a query string or a different letter case in a URL disappear. Review those differences against the website before deciding whether records refer to the same page.

If your task requires one record per URL, group the remaining rows by URL in your spreadsheet and inspect any group with more than one entry. Decide which record reflects the intended change, record that decision and preserve the rejected entry in your working copy if it explains the history. The cleaner supplies exact-row deduplication; resolving competing instructions is a separate editorial step.

Trimming is also a choice. It is useful when accidental spaces surround URLs or owner names, as in the sample. Leave it off when edge whitespace has a deliberate meaning in your source data. The operation affects the edges of each cell rather than collapsing spaces inside a title or rewriting its punctuation.

Check the structure before blaming the text

A comma inside a title must remain part of that field. CSV quoting encloses fields containing commas, quotation marks or line breaks; a literal double quote inside a quoted field is written twice. The example follows these conventions described in RFC 4180. Splitting its text at every comma or every line break would damage the records.

Inspect the delimiter and column count when the preview looks wrong. The tool supports comma and tab delimiters, with automatic detection based on the first non-empty record. Select the delimiter explicitly if the file’s layout makes that choice ambiguous. A semicolon-separated export needs to be converted or exported again using a supported delimiter.

During our live check, a three-column record under a two-column header produced a clear error rather than a padded result. Repair the source or its quoting before continuing. Check whether the first record is truly a header, too: selecting the header option for a headerless file keeps its first record outside the data-row comparison.

Decide how the cleaned file will be opened

The preview shows retained cell values, while the selected export format can change the downloaded values. In Spreadsheet-safe CSV mode, ProSEO prefixes values beginning with =, +, - or @, including after leading whitespace, with an apostrophe. Our downloaded sample changed -12, a phone number beginning with +, and =1+1 in that way. An ID of 0007 remained unchanged in the CSV text.

This prefix is a practical export precaution, not a universal safety guarantee. OWASP explains that spreadsheet applications can interpret formula-like CSV content and that protections can behave differently after a file is saved and reopened. Review unfamiliar formula-like content before opening it in a spreadsheet.

Exact cell data CSV preserves the retained values without those prefixes. Choose it only when you have reviewed the data and the receiving system needs the exact text. The cleaner still quotes and escapes fields when writing CSV; exact cell data does not mean leaving commas or quotation marks unescaped.

A CSV can contain 0007 correctly and still be converted to 7 when opened in Excel. Microsoft recommends controlling import types, including treating identifier columns as text through its import workflow. Check IDs, telephone numbers and long numeric codes in the receiving application before saving another copy. Formatting a damaged value afterward does not recover the original text.

Use the cleaned export for the next review

Download the result, compare the removal counts with the example or your own expectations, and inspect a few retained records. Include a repeated URL, a quoted field and the last record in that spot-check when they are present. The tool previews up to 100 data records but exports all retained records within its loading limits: 1 MB and 5,000 data records plus a header.

For page-title work, use the cleaned sheet in the Bulk SERP Preview to review wording. For URL migration work, continue with the redirect-map review guide. Keep the original export, the cleaned file and any manual decisions together so someone else can understand the change before it reaches the website.
